Privacy Policy

Updated: October 28, 2025

Look, we get it - nobody actually enjoys reading these things. But your privacy matters to us at Ignarion Hollow, so we've tried to make this as straightforward as possible.

Welcome to Ignarion Hollow Fitness. We're a HIIT and functional fitness gym located right here in Vancouver, and we take your privacy seriously - probably more seriously than we take rest days.

This policy explains what info we collect when you train with us, book classes, or just browse our site. It's all pretty standard stuff, but we want you to know exactly what's happening with your data.

By using our services, you're agreeing to this policy. If something doesn't sit right with you, hit us up at info@ignarionhollow.info and let's talk it through.

Personal Information

When you sign up or book a session, we'll ask for basics like:

  • Name and contact details (email, phone number)
  • Mailing address for membership cards and stuff
  • Payment information (processed securely, we don't actually store your full card details)
  • Emergency contact info - because safety first
  • Birthday for membership perks and age verification
Health & Fitness Data

To keep you safe and help you crush your goals, we might collect:

  • Medical history and fitness assessments
  • Injury information and physical limitations
  • Progress tracking data (if you're into that)
  • Attendance records for classes and PT sessions
Technical Information

Like most websites, we automatically collect some tech stuff:

  • IP address and browser type
  • Device information and operating system
  • Pages you visit and how long you hang around
  • Referring URLs (where you came from)

We're not in the business of selling your info or anything sketchy like that. Here's what we actually do with it:

  • Service Delivery: Managing your membership, scheduling classes, processing payments - the basics to keep things running smoothly
  • Safety & Training: Making sure our trainers know about any injuries or limitations so they can modify exercises appropriately
  • Communication: Sending class reminders, gym updates, schedule changes, and occasional promotions (you can opt out anytime)
  • Improvement: Understanding what's working and what's not so we can make the gym better
  • Legal Stuff: Complying with Canadian laws and regulations, handling disputes, that kind of thing
  • Marketing: Reaching out with deals and new program info - but only if you've said it's cool

We'll never use your health data for marketing without explicit permission. That stuff stays between you, your trainer, and our secure systems.

We're pretty protective of your info, but there are a few situations where we might need to share it:

Service Providers

We work with trusted third parties who help us run the gym - payment processors, scheduling software, email services. They only get what they need to do their job, and they're bound by confidentiality agreements.

Legal Requirements

If the law requires it or we need to protect someone's safety, we might have to disclose information. Think court orders, emergency situations, that sort of thing.

Business Transfers

If Ignarion Hollow ever gets sold or merged (not planning on it, but you never know), your data would transfer to the new owners under the same privacy protections.

We will NEVER: Sell your personal information to third parties, share your health data with marketers, or post your info publicly without permission.

Yeah, we use cookies - not the protein kind, unfortunately. These are small files that help our website work better and remember your preferences.

Types of Cookies We Use
  • Essential Cookies: Needed for the site to function - logging in, booking classes, that stuff
  • Performance Cookies: Help us understand how people use the site so we can improve it
  • Functionality Cookies: Remember your preferences and settings
  • Analytics: We use tools like Google Analytics to see what's working and what's not

You can disable cookies in your browser settings, but heads up - some features might not work properly if you do.

We also use pixel tags and similar tech to track email opens and link clicks in our newsletters. If that's not your thing, you can unsubscribe anytime.

We take data security as seriously as we take proper squat form. Here's what we do to protect your info:

  • Encryption: All data transmission is encrypted using SSL/TLS technology
  • Secure Storage: Your data is stored on secure servers with restricted access
  • Access Controls: Only authorized staff can access sensitive information, and only when necessary
  • Regular Updates: We keep our systems updated with the latest security patches
  • Staff Training: Our team is trained on privacy and security best practices

That said, no system is 100% secure. We do our best, but we can't guarantee absolute security. If we ever experience a data breach, we'll notify affected members ASAP and take immediate action to fix it.

Your part: Keep your login credentials private, use a strong password, and let us know immediately if you think your account's been compromised.

Under Canadian privacy laws (PIPEDA and BC's PIPA), you've got some solid rights when it comes to your personal data:

Access & Portability

You can request a copy of all the personal data we have about you. We'll get it to you within 30 days, usually much faster.

Correction

If something's wrong or outdated, let us know and we'll fix it. You can update most stuff yourself through your member portal.

Deletion

Want us to delete your data? We can do that, with a few exceptions (like if we need it for legal/accounting purposes). Just shoot us a request.

Opt-Out

Don't want marketing emails? No problem - there's an unsubscribe link in every email, or just tell us and we'll stop.

Withdrawal of Consent

You can withdraw consent for certain data processing anytime. Note that this might affect our ability to provide some services.

To exercise any of these rights, contact us at info@ignarionhollow.info or call (604) 555-0147. We'll verify your identity and process your request promptly.

We welcome younger athletes (16+) to train with us, but we need parental consent for anyone under 19 in BC.

For members under 19, we require:

  • Parental or guardian consent for membership and data processing
  • Parent/guardian contact information for emergencies
  • Signed waivers from a parent or legal guardian

Parents can request access to their child's data, make corrections, or request deletion at any time. We take extra care with information about younger members and only share it when necessary for training and safety.

Our website isn't designed to collect data from anyone under 16 without parental supervision. If you're a parent and think your child under 16 has provided us information without permission, contact us immediately and we'll delete it.

We might update this policy from time to time - laws change, our services evolve, you know how it goes. When we make changes, we'll:

  • Update the "Last Updated" date at the top of this page
  • Post a notice on our website for 30 days
  • Send an email to active members if the changes are significant
  • Get fresh consent if legally required

We recommend checking this page occasionally, especially if you haven't been around for a while. Continued use of our services after changes means you're cool with the updated policy.

Got questions about this privacy policy? Want to exercise your rights? Or just want to chat about how we handle your data? We're here for you.

Bottom Line

We collect what we need to run the gym and keep you safe. We protect it like it's our own. We don't sell it or do anything shady with it. You're in control of your data, and we're here to help if you have questions. That's the gist of it - everything else is just legal details to back that up.
